SimplePractice alternative

SimplePractice alternative: Capra for clinics that want a client portal with no forced card and a person who answers

Clinics look for a SimplePractice alternative when SimplePractice is the most widely used practice platform for US therapists, and the reasons clinicians give for leaving are consistent across reviews: no live phone support, clients asked for card details before they can use the portal, account freezes, billing that continued after cancellation and updates that broke working features. This page sets out where Capra is the better fit, where SimplePractice still is, and how switching works.

Best for

Who should choose Capra, and who should choose SimplePractice

SimplePractice is the most widely used practice platform for US therapists, and the reasons clinicians give for leaving are consistent across reviews: no live phone support, clients asked for card details before they can use the portal, account freezes, billing that continued after cancellation and updates that broke working features.

Choose Capra if…

  • Clients should use the portal without creating a login or adding a card
  • You run a group practice and want per-therapist calendars, roles and reporting on one account
  • You want a person in support, with a named onboarding lead who knows your setup

Choose SimplePractice if…

  • You bill insurance through a clearinghouse and want claims, ERAs and ICD codes in the same tool
  • You want AI-assisted notes and a consumer directory listing
  • You are a solo clinician who wants the most common US therapy tool and its community
  • Your workflow is already built around the SimplePractice client portal

Notes on the table: the SimplePractice client portal needs a login and, by default, a card on file, which is why the booking and portal rows carry that note; secure messaging lives inside the portal and SMS is used for reminders; group-practice features exist but multi-location is not a first-class concept; the integration list is fixed; reviews consistently describe the absence of live phone support.

How it works

Switching from SimplePractice: we import your data

Migration is part of onboarding: a named lead imports your data, checks it with you and stays your contact after go-live. Most clinics run both systems side by side for a couple of weeks before switching the old one off.

Export from SimplePractice, import into Capra

Your onboarding lead takes the export of patients, appointments, notes, documents and invoices from SimplePractice, or pulls it with you, and maps it field by field into Capra.

Check the import with you

You review the imported records against the originals, and the clinic can run both systems side by side for a couple of weeks before the switch.

Go live with a named lead

Reminders, booking and the inbox switch on, the integrations you agreed are built and tested, and your onboarding lead stays your contact afterwards, in UK and UAE hours.

Security & reliability

Built for healthcare, trusted with patient data

Defence in depth, from the first message to the last record. This is how we operate, not a badge.

Encrypted in transit and at rest

Connections use current TLS with HSTS, and stored data is encrypted with keys managed by our cloud provider.

Least-privilege, role-based access

Permissions come from defined roles, privileged access needs multi-factor authentication, and rights are reviewed regularly.

Monitored and logged

Security-relevant events are recorded, retained and reviewed so unusual activity can be investigated quickly.

Backed up and resilient

Critical data is backed up regularly and protected like production, with processes to restore service after a disruption.

Hosted where you need it

UK clinics are hosted in the UK by default; deployment in other regions, including the UAE, is available on request with the same protections.

Connected to your systems

Capra connects to the record, calendar, accounting, messaging and claims systems you already run; integrations are built with you during onboarding.

FAQ

Questions, answered

Is Capra a SimplePractice alternative for group practices?

Yes. Capra gives each therapist a calendar, client list and reporting on one account, with supervisor and owner roles, a client portal with no app and no forced card, video sessions on the same calendar, outcome measures scored on the record and two-way texting from a registered practice number.

What does SimplePractice do better than Capra?

Insurance claims through its clearinghouse with ERAs and ICD codes, AI-assisted notes, a consumer-facing directory and the largest community of US therapists. A solo clinician who bills insurance heavily may still find it the simpler choice.

What does Capra do that SimplePractice does not?

A client portal that opens from a secure link with no login and no card unless you require it, WhatsApp Business alongside texting, integrations built for you during onboarding, hosting options in the UK and UAE, and human support from a named team rather than a ticket queue.

Will Capra import our data from SimplePractice?

Yes. Your onboarding lead takes the SimplePractice export of clients, appointments, notes, documents and invoices, maps it into Capra and checks it with you before go-live.

Can clients still book themselves?

Yes. Clients book from your website or a link within the rules you set, confirm or reschedule from the reminder, and complete intake before the first session, all without creating an account.

How long does switching from SimplePractice take?

Most practices are scheduling, messaging and writing notes in Capra within a few days of the import. Clearinghouse and accounting connections follow the onboarding plan agreed with your named lead.

Is support really different?

The absence of live phone support is the most repeated complaint in SimplePractice reviews. Capra's support is human, in UK and UAE hours, from a named team; US practices should check those hours fit their day before switching.

Can we run Capra and SimplePractice side by side during the switch?

Yes. Clinics commonly run both for a couple of weeks after the import: bookings and reminders move to Capra first, notes follow once the team is comfortable, and your onboarding lead checks nothing has been left behind before SimplePractice is switched off.

What happens to our patients' consent and messaging preferences?

Consent records and contact preferences are imported with each patient and stored on the record in Capra. Opt-outs are applied through suppression lists from the first send, so a patient who declined messages in SimplePractice is not messaged by Capra either.
