Appointments per week
Count booked appointments across every clinician and room for a typical week. For a group, run the calculator once per site and once for the whole practice.
Put in your own numbers to see what missed appointments add up to each month and year, in pounds, dollars or dirhams. It is your estimate from your figures, not a promise of what any software will deliver.
Choose your currency, then adjust appointments per week, your no-show rate and the average value of an appointment. The estimate updates as you type.
For context: in a Cochrane review, attendance rose from 67.8% to 78.6% when patients received a text message reminder, and in an Imperial College London study non-attendance was 38% lower among patients who got one. See the sources.
Pull them from the diary and reports for last month. The calculator runs in your browser and stores nothing you enter.

Missed appointments divided by booked appointments, as a percentage, over the same period. Keep late cancellations separate: they can often be refilled, a no-show cannot.
Revenue per appointment in the currency you bill in. If values differ widely by appointment type, use the weighted average or run the calculator per type.
Defence in depth, from the first message to the last record. This is how we operate, not a badge.
Connections use current TLS with HSTS, and stored data is encrypted with keys managed by our cloud provider.
Permissions come from defined roles, privileged access needs multi-factor authentication, and rights are reviewed regularly.
Security-relevant events are recorded, retained and reviewed so unusual activity can be investigated quickly.
Critical data is backed up regularly and protected like production, with processes to restore service after a disruption.
UK clinics are hosted in the UK by default; deployment in other regions, including the UAE, is available on request with the same protections.
Capra connects to the record, calendar, accounting, messaging and claims systems you already run; integrations are built with you during onboarding.
Missed appointments a month = appointments per week × no-show rate × 52 ÷ 12. Cost a month = missed appointments × the average value of an appointment, and the yearly figure is twelve times that. The calculator does not add a recovery estimate or any Capra claim; it is your numbers, arranged.
A systematic review of 105 studies put the average around 23%, with wide variation by setting. In England about 1 in 23 GP-practice appointments was missed in 2025, and across 715 UK private clinic owners surveyed by HMDG, clinics with automated reminders reported 6.3% against 11% without. Use your own last quarter as the benchmark.
Count them separately. A late cancellation can often be refilled from a waitlist, a no-show cannot, and they need different fixes. Run the calculator with your true no-show (DNA) rate, then again with late cancellations added to see the upper bound.
No. The currency switch changes the formatting only; the figures you entered and the maths stay exactly the same. Enter the appointment value in the currency you bill in.
Automated reminders with one-tap confirmation are the biggest single lever in the research, followed by self-serve rescheduling, deposits for the appointment types that need them, a waitlist that fills freed slots and a clear policy patients know about in advance. The guide linked below walks through each.
