Physiotherapy practice management software for clinics that want full diaries and fewer DNAs
Physiotherapy practice management software runs a physio clinic end to end: the diary and online booking, SMS and WhatsApp reminders, SOAP notes with body charts, outcome measures, exercise prescription, invoicing to patients and insurers, and reporting on utilisation and DNAs. Capra is configured for physiotherapy (physical therapy) during onboarding and connects to Healthcode, Physitrack, Xero and the calendars you already use.

Why physio clinics switch
The three gaps physiotherapists name most
UK private MSK runs largely on one or two products, and the complaints that drive a switch are consistent across practitioner threads and public reviews.
Cliniko: patients can't rebook themselves, and support is email only
The most repeated complaint from UK physios is that patients cannot change their own appointment and that nobody answers the phone. In Capra, patients confirm, cancel and rebook from the reminder or the portal, and support is human, in UK hours.
Jane: charting slows a full list, and new patients must create a profile
Practitioners describe charting as the weak point on busy days and new patients having to build a full profile before they can book. Capra's SOAP templates and body charts are built for thirty notes a day, and patients book without an account.
WebPT: outages, and four disconnected systems
Physical therapists in the US describe outages and a separate tool each for notes, scheduling, billing and messaging. Capra is one workspace with one patient record, and whatever you keep, it connects to.
Based on public reviews on Capterra, Trustpilot and Reddit, last checked 25 October 2026; the full, two-way comparisons are on the compare pages. If you are one of the vendors named and a statement is out of date, email info@capra.health and we will re-review it.

How it works
Set up for physiotherapy in three steps
Most physio clinics are booking, reminding and writing notes in Capra within a few days, with a named onboarding lead throughout.
01
Import patients and the diary
Bulk import from Cliniko, Jane, TM3, PPS or a spreadsheet, with physios, rooms, appointment types and classes set up for you.
02
Templates, body charts and outcome measures
Initial assessment and SOAP templates, body charts, consent forms and the outcome measures your clinic tracks, configured for your physios.
03
Reminders, online booking and billing live
SMS and WhatsApp reminders start sending, patients book online, and Healthcode, Physitrack and Xero are connected on the agreed onboarding plan.

Diary, notes, reminders, exercises and billing that share one patient record and one login.
A diary built for a physiotherapy clinic
Clinician, room and equipment diaries in one view, with online booking that lets patients book, cancel and rebook themselves within the rules you set. Per-practitioner lead-in times, buffers and gap-filling rules keep sessions back to back, and classes and group sessions sit on the same diary.

Clinical notes for physiotherapy and physical therapy: SOAP, body charts, outcome measures
Initial assessment and SOAP templates with body charts you draw on, outcome measures scored and charted visit by visit, and discharge letters generated from the record. Notes are versioned and written to be fast on a full list, in the clinic or between home visits.

Outcome measures scored on the record and charted over time
Reminder rules per appointment type send the right message at the right time, patients confirm or rebook in one tap, and the diary updates itself. DNA rate is tracked per physio, site and appointment type, so you can see whether the new-patient slot on Monday morning is the problem.

What is physiotherapy practice management software?
Software that runs a physio clinic end to end: the diary and online booking, reminders, SOAP notes with body charts, outcome measures, exercise prescription, invoicing to patients and insurers, and reporting. Capra does all of it in one workspace and connects to the systems a physio clinic already uses.
Does it work for physical therapy clinics in the US as well as UK physiotherapy?
Yes, the same page and the same product. UK clinics use the diary, Healthcode and Physitrack; US physical therapy practices use two-way texting, their EHR connection and clearinghouse. Vocabulary, templates and connections are configured per clinic during onboarding.
Can patients cancel and rebook themselves?
Yes. Reminders carry confirm and reschedule options and the portal lists every upcoming appointment with the same choices, within the cancellation window you set. A freed slot is offered to the waitlist, so a late change becomes a filled appointment.
Do you have SOAP templates and body charts?
Yes. Initial assessment and SOAP templates with body charts per region are configured for your physios during onboarding, and outcome measures are scored and charted on the record. Notes are versioned so you can always see what changed and when.
Which outcome measures can we track?
Any scored questionnaire: PSFS, NDI, Oxford scores, Roland-Morris and the measures your clinic already uses are set up as forms, scored on submission and charted visit by visit on the patient record.
Does Capra connect to Healthcode and Physitrack?
Yes. Both are systems Capra connects to during onboarding: Healthcode for insurer invoicing and Physitrack for exercise prescription, with exercise links and invoice status visible on the patient record.
Can we run classes and group sessions?
Yes. Classes and group sessions are appointment types on the same diary, with capacity, online booking and per-attendee notes, so Pilates and rehab classes sit alongside one-to-one appointments.
How does Capra help our DNA rate?
Automated SMS and WhatsApp reminders with one-tap confirmation, self-service rebooking, deposits for the appointment types that need them and a waitlist that fills freed slots. DNA rate is reported per physio, site and appointment type so you can see where the problem is.
Is support in UK hours?
Yes. Support is human, in UK and UAE hours, from a named team, and every clinic has a named onboarding lead from the first call to go-live.
Can we import from Cliniko, Jane or TM3?
Yes. Importing patients, appointments, notes and documents from your current system is part of onboarding, run by your named onboarding lead and checked with you before go-live.
How clinics run packages, memberships and credits without a spreadsheet: selling a course, tracking what is left, renewals, refunds and what patients see.
Cliniko, Jane and Zanda compared for UK physiotherapy clinics: booking, rebooking, notes, reporting, support hours and data export, and where Capra fits in.
How to stop double-booked rooms and machines in aesthetics and physio clinics: treat rooms, lasers and couches as resources that every appointment checks.
