Microsoft Outlook integration: the clinic schedule in Outlook and Teams, both ways

Outlook and Teams calendar sync is live from your first days with Capra. An appointment made or moved in Capra shows in the clinician's Outlook calendar and Teams availability, a change made there flows back, and each user decides how much detail the synced event carries. Practices on Microsoft 365 keep the calendar their whole organization already uses.

What moves between Capra and Microsoft Outlook

The three things every connection should spell out: what moves, in which direction, and how quickly you can see it.

What moves

Appointments with their time, duration and location, and the level of detail each user chooses, from initials and a visit type to a plain busy block; Teams availability follows the Outlook calendar.

Which direction

Both. A booking in Capra appears in Outlook; an event created or moved in Outlook blocks or moves the matching slot in Capra, so meetings and clinic time never collide.

How fast, and how visible

Changes sync within moments in either direction through each user's own Microsoft sign-in, and every sync is logged in the audit trail.

How it works

Connecting Microsoft Outlook is self-serve, not a project

Live today: each clinician connects their own calendar from their Capra profile.

Connect your account

Each clinician signs in to Microsoft Outlook once from their Capra profile; no passwords are stored and access can be revoked at any time.

Choose what syncs

Decide which calendars, which appointment types and how much detail appears in the synced event, per user.

Go live

Appointments made or moved in either place show in both within moments, and every sync is logged.

Microsoft Outlook is one of the integrations connected in your first days with Capra. Record, accounting, claims and exchange systems are scoped and built with you during onboarding.

Security & reliability

Built for healthcare, trusted with patient data

Defence in depth, from the first message to the last record. This is how we operate, not a badge.

Encrypted in transit and at rest

Connections use current TLS with HSTS, and stored data is encrypted with keys managed by our cloud provider.

Least-privilege, role-based access

Permissions come from defined roles, privileged access needs multi-factor authentication, and rights are reviewed regularly.

Monitored and logged

Security-relevant events are recorded, retained and reviewed so unusual activity can be investigated quickly.

Backed up and resilient

Critical data is backed up regularly and protected like production, with processes to restore service after a disruption.

Hosted where you need it

UK clinics are hosted in the UK by default; deployment in other regions, including the UAE, is available on request with the same protections.

Connected to your systems

Capra connects to the record, calendar, accounting, messaging and claims systems you already run; integrations are built with you during onboarding.

FAQ

Questions, answered

Is the Outlook sync two-way?

Yes. Appointments made or moved in Capra appear in Outlook and Teams, and events created or moved in Outlook block or move the matching slot in Capra, with per-user privacy controls.

Does it work with Teams?

Yes. Teams availability follows the Outlook calendar, so colleagues see clinic time as busy, and video visits run in Capra's own browser video from the appointment rather than through a separate meeting link.

Does patient information end up in Outlook?

Only what each user chooses. The synced event can carry initials and a visit type, or be a plain busy block, which is what most organizations choose for shared Microsoft 365 calendars.

Can an administrator manage the connections?

Each user signs in to Microsoft once from their Capra profile; no passwords are stored, and an administrator or the user can revoke the connection at any time.

Do reminders still go out when a slot is moved in Outlook?

Yes. The moved slot updates the appointment in Capra and reminder rules re-apply to the new time, so a reminder never points at a slot that moved.

How is the Microsoft Outlook connection secured?

Data moves over encrypted connections, access to the connection follows roles, and every exchange is written to the audit trail, like every other part of the platform. The practices behind that, from encryption to backups, are described in full on our security page.

What happens if Microsoft Outlook is unavailable?

Capra keeps working on its own data and queues what needs to be sent. When Microsoft Outlook is reachable again, the queued updates are delivered and logged, and your team can see in the audit trail exactly what moved and when.
