Google Calendar integration: the clinic schedule in the calendar your clinicians already open

Google Calendar sync is live from your first days with Capra. An appointment made or moved in Capra shows in the clinician's Google Calendar, a change made there flows back, and each user decides how much detail the synced event carries, down to a plain busy block. It also brings the schedule to the iPhone and Android calendars that follow a Google account.

What moves between Capra and Google Calendar

The three things every connection should spell out: what moves, in which direction, and how quickly you can see it.

What moves

Appointments with their time, duration and location, and as much or as little detail as each user chooses: the patient's initials, a visit type, or simply a busy block with no patient information at all.

Which direction

Both. A booking in Capra appears in Google Calendar; an event created or moved in Google Calendar blocks or moves the matching slot in Capra, so a clinician who manages their day from their phone stays in step.

How fast, and how visible

Changes sync within moments in either direction, each clinician's connection is their own and revocable, and every sync is logged so the clinic can see what moved and when.

How it works

Connecting Google Calendar is self-serve, not a project

Live today: each clinician connects their own calendar from their Capra profile.

Connect your account

Each clinician signs in to Google Calendar once from their Capra profile; no passwords are stored and access can be revoked at any time.

Choose what syncs

Decide which calendars, which appointment types and how much detail appears in the synced event, per user.

Go live

Appointments made or moved in either place show in both within moments, and every sync is logged.

Google Calendar is one of the integrations connected in your first days with Capra. Record, accounting, claims and exchange systems are scoped and built with you during onboarding.

Security & reliability

Built for healthcare, trusted with patient data

Defence in depth, from the first message to the last record. This is how we operate, not a badge.

Encrypted in transit and at rest

Connections use current TLS with HSTS, and stored data is encrypted with keys managed by our cloud provider.

Least-privilege, role-based access

Permissions come from defined roles, privileged access needs multi-factor authentication, and rights are reviewed regularly.

Monitored and logged

Security-relevant events are recorded, retained and reviewed so unusual activity can be investigated quickly.

Backed up and resilient

Critical data is backed up regularly and protected like production, with processes to restore service after a disruption.

Hosted where you need it

UK clinics are hosted in the UK by default; deployment in other regions, including the UAE, is available on request with the same protections.

Connected to your systems

Capra connects to the record, calendar, accounting, messaging and claims systems you already run; integrations are built with you during onboarding.

FAQ

Questions, answered

Is the Google Calendar sync two-way?

Yes. Appointments made or moved in Capra appear in Google Calendar, and events created or moved in Google Calendar block or move the matching slot in Capra, with per-user privacy controls over what colleagues see.

Does patient information end up in Google Calendar?

Only what each user chooses. The synced event can carry initials and a visit type, or it can be a plain busy block with no patient information, which is what most practices choose for personal calendars.

Does it sync to iPhone and Android calendars?

Yes, through the Google account those devices follow. A clinician who runs their day from their phone sees the clinic schedule beside their own appointments.

Can each clinician connect their own calendar?

Yes. Each user signs in to Google once from their Capra profile; no passwords are stored in Capra, and the connection can be revoked by the user or an administrator at any time.

Do reminders still go out when a slot is moved in Google Calendar?

Yes. The moved slot updates the appointment in Capra, and reminder rules re-apply to the new time, so a reminder never points at a slot that moved.

How is the Google Calendar connection secured?

Data moves over encrypted connections, access to the connection follows roles, and every exchange is written to the audit trail, like every other part of the platform. The practices behind that, from encryption to backups, are described in full on our security page.

What happens if Google Calendar is unavailable?

Capra keeps working on its own data and queues what needs to be sent. When Google Calendar is reachable again, the queued updates are delivered and logged, and your team can see in the audit trail exactly what moved and when.
