Xero integration: invoices and payments from the diary, reconciled in your accounts

Xero is the accounting package most UK private clinics and many clinics elsewhere run their books in. Capra connects to Xero during onboarding so invoices raised on the patient record, payments and deposits taken at booking, and the contacts behind them appear in Xero without re-typing, per clinic or per legal entity for groups.

Plain terms

What moves between Capra and Xero

The three things every connection should spell out: what moves, in which direction, and how quickly you can see it.

What moves

Invoices with line items and tax treatment, payments and deposits with their method, credit notes and refunds, and patient or insurer contacts, mapped to the accounts and tracking categories you use.

Which direction

From Capra to Xero as invoices are raised and payments taken; payment status from Xero back to the invoice on the record, so reception sees what is outstanding without opening the accounts.

How fast, and how visible

Invoices and payments sync as they happen or in a nightly batch, per your preference; every sync is logged in the audit trail, and a failed sync is flagged rather than silently dropped.

How it works

How the Xero connection gets built

Built for you during onboarding, with one named lead from the scoping call to go-live and human support in UK and UAE hours afterwards.

Scoping call

Your onboarding lead maps what your clinic sends to and receives from Xero, which fields on the record feed it, and who sees the results.

Build and test with your data

We build the connection, test it with you against sample records and walk through what moved before anything goes live.

Go live with monitoring

The connection goes live with every exchange logged and visible in your audit trail, and your onboarding lead stays your contact in UK and UAE hours.

Xero is named here as a system Capra connects to. Like every record, accounting, claims and exchange connection, it is scoped and built with you during onboarding rather than left for the clinic to work out.

Security & reliability

Built for healthcare, trusted with patient data

Defence in depth, from the first message to the last record. This is how we operate, not a badge.

Encrypted in transit and at rest

Connections use current TLS with HSTS, and stored data is encrypted with keys managed by our cloud provider.

Least-privilege, role-based access

Permissions come from defined roles, privileged access needs multi-factor authentication, and rights are reviewed regularly.

Monitored and logged

Security-relevant events are recorded, retained and reviewed so unusual activity can be investigated quickly.

Backed up and resilient

Critical data is backed up regularly and protected like production, with processes to restore service after a disruption.

Hosted where you need it

UK clinics are hosted in the UK by default; deployment in other regions, including the UAE, is available on request with the same protections.

Connected to your systems

Capra connects to the record, calendar, accounting, messaging and claims systems you already run; integrations are built with you during onboarding.

FAQ

Questions, answered

Does Capra reconcile payments in Xero?

Yes. Payments and deposits taken in Capra are posted to Xero against the matching invoice, so reconciliation in Xero is a matching exercise rather than a re-typing one, and the invoice on the record shows what is outstanding.

Can a group with several entities use one account?

Yes. Each site or legal entity maps to its own Xero organisation, and group reporting in Capra still shows every site in one view.

How are insurer invoices handled?

Insurer invoices submitted through Healthcode and self-pay invoices both post to Xero, with tracking categories for the insurer, clinician or site so the accounts answer the questions owners ask.

Does it work with QuickBooks or other packages?

Yes. QuickBooks and other accounting packages are connected the same way during onboarding; Xero is simply the one UK clinics ask for most.

Who builds and supports the Xero connection?

Capra's own team. A named onboarding lead scopes the connection with you, builds and tests it against your data, and stays your contact after go-live, with human support in UK and UAE hours.

How is the Xero connection secured?

Data moves over encrypted connections, access to the connection follows roles, and every exchange is written to the audit trail, like every other part of the platform. The practices behind that, from encryption to backups, are described in full on our security page.

What happens if Xero is unavailable?

Capra keeps working on its own data and queues what needs to be sent. When Xero is reachable again, the queued updates are delivered and logged, and your team can see in the audit trail exactly what moved and when.
